Keka alternative for growing Indian teams

Compare the fit and your actual quote, not marketing superlatives.

Keka is an established HR platform with broad scope. LekhaHR is a focused option for teams that want transparent per-active-employee pricing, attendance and leave that explain the policy behind a result, and no continuous GPS tracking.

Disclosure: LekhaHR publishes this comparison and has a commercial interest in you choosing it. Evaluate Keka from its own current product and pricing materials too. Every Keka figure below carries a dated source.

How this page compares

Disclosed criteria, no vendor self-ranking.

  • Fit before features. The two products sit in different shortlist positions, so the first question is scope, not a score.
  • Shipped modules only. LekhaHR is compared on core HR, attendance and leave, which are released. Unreleased modules are left out, not dressed up.
  • Dated sources for every number. Keka's pricing mechanics carry a capture date; you can re-check them on Keka's own page.
  • Your quote, not our assumption. Enter the real Keka proposal below rather than trust a generic savings claim.
  • When to stay. This page names the cases where Keka is the better choice.

Choose by fit

Two different shortlist positions.

Consider Keka when

  • You need its broader established suite and implementation model.
  • Your required modules are confirmed in its current proposal.
  • The quoted minimum and add-ons fit your team economics.

Consider LekhaHR when

  • You want no base platform fee or minimum headcount.
  • Attendance and leave explain the policy behind a result.
  • Punch-time location without background movement tracking matters.
  • You accept that unreleased modules are excluded.

Feature comparison

Compared on what LekhaHR actually ships.

Only released LekhaHR modules appear here. The Keka column stays factual: Keka is a broad platform, so confirm each inclusion in your own quote.

CapabilityLekhaHRWith Keka
Core HR recordOne employee record with documents, org chart and self-service, released today.Established core HR inside a broad suite; confirm which modules your quote actually includes.
AttendanceEvery day status explains the policy behind it across late, short, missing and regularised states.Attendance is included; ask in a demo how corrections and approvals are shown to the employee.
LeaveThe balance after a request is shown before an employee submits; policies are effective-dated.Leave is included; ask how the balance ledger and past policy versions read.
Location privacyLocation is read only at an explicit check-in or check-out and geofence-checked, never between punches.Ask what location the mobile app records, and at which moments.

Payroll is the honest gap. LekhaHR does not run payroll today; Keka does. If in-house payroll is a must-have, Keka or greytHR is the better fit, and there is no payroll comparison row above because there is nothing to claim yet.

Switch triggers

The Keka cost mechanics worth checking.

These are decision inputs, not a savings claim. Each figure is captured from Keka's own pricing page on the date shown.

25-employee minimum

Billing starts at a 25-seat floor, so a team of 12 still carries the ₹9,999 Foundation base. Derived from the sourced numbers, that works out to about ₹833 per actual employee each month (₹9,999 ÷ 12), because the base does not shrink below the floor.

₹9,999/mo up to 100, then +₹90 each

The Foundation base is a flat slab to 100 people; every employee beyond the base adds ₹90 a month.

One-time setup fee

An implementation fee is referenced in Keka's pricing FAQ, separate from the monthly rate — confirm the amount in your quote.

Keka's Foundation base bundles a broad suite including payroll — compare per-seat cost against the modules you'll actually use.

Two things reviewers raise, but which we will not assert as fact, are worth testing yourself in both demos: whether the platform cost feels heavy for a team of your size once the minimum and any add-ons are counted, and how support and the mobile app behave on a patchy network. Ask, watch, and decide from what you see.

Migration path

What moving off Keka involves, and what it does not.

A move is a data export, a field mapping and one parallel cycle. Read the right column before you plan, because it is the part a Keka sales engineer will test.

What moving involves

  1. Export from Keka: employee master, attendance history, leave balances and policy configuration.
  2. Map those fields to LekhaHR core-HR, attendance and leave records.
  3. Run one cycle in parallel, with Keka kept read-only, before you cut over.
  4. Reconcile leave balances and attendance corrections against your last Keka close.

What LekhaHR does not do

  • No automated Keka-to-LekhaHR migration service or connector. Import is CSV and manual field mapping today.
  • No payroll run. LekhaHR passes reviewed attendance and leave inputs forward; it does not compute salary, PF, ESI or generate payslips.
  • No performance, recruitment, onboarding, expense or project modules. These are unreleased, so no comparison row is drawn for them.
  • No multi-entity or plant-scale shift-depth claims.

Honest fit

Stay with Keka if…

The comparison only helps if it also tells you when not to switch. Stay with Keka in these cases.

  • You need one vendor to run payroll end to end: PF, ESI, TDS and payslips.
  • You need performance (PMS), recruitment (ATS), onboarding, expense or multi-entity support today.
  • You run manufacturing shift or plant HR at scale.
  • Your negotiated Keka quote already fits your team economics and every needed module is confirmed in the proposal.
  • You want a large established install base and its implementation model.

Before switching

Questions to carry into both demos.

  1. Which modules and employee limits are included in the quoted plan?
  2. Which capabilities require add-ons, setup services or minimum commitments?
  3. How are attendance corrections and leave-balance changes explained to the employee?
  4. What employee data is captured at a punch, and what is captured between punches?
  5. How will historical records and past policy versions migrate?

Comparison FAQ

Keep the decision evidence-based.

LekhaHR pricing · Small-business HR software

Is LekhaHR a replacement for every Keka module?

No. Keka is a broad, established platform. LekhaHR covers core HR, attendance and leave today, so shortlist it where those released modules and its per-active-employee pricing match your requirement, not as a like-for-like swap for every Keka module.

What does switching from Keka actually cost me?

It depends on your team size and your negotiated Keka quote. Keka's Foundation base is ₹9,999/month for up to 100 employees, with a 25-employee minimum and a one-time setup fee, so smaller teams carry more per seat. Enter your own proposal in the comparator above, and open LekhaHR pricing for the full rate card.

Can I export my data out of Keka?

Keka supports exporting your employee master, attendance history and leave balances. LekhaHR imports that data by CSV and manual field mapping; there is no one-click connector or automated migration service, so plan a parallel cycle before cut-over.

Does LekhaHR run payroll like Keka?

No. Payroll is not part of LekhaHR's released scope. Reviewed attendance and leave stay ready as clean inputs, but LekhaHR does not compute salary, PF, ESI or generate payslips. If in-house payroll is a must-have, Keka or greytHR is the better fit.

Is LekhaHR always cheaper than Keka?

Not necessarily. Team size, selected scope, setup terms and your negotiated quote all matter. Use the comparator with your actual proposal rather than assuming a universal saving.

Can I compare setup fees?

Yes. The comparator accepts an optional one-time setup amount and folds it into the first-year total, so a low monthly rate carrying a heavy setup fee is compared honestly.

Does LekhaHR continuously track employee location?

No. Location may be captured at an explicit attendance punch and checked against a geofence, but movement between punches is not collected.
